3. Guide on how to use the Act

A guide on how to use PAIA is available from the South African Human Rights Commission, which is the body designated under section 10 of PAIA to compile and publish such a guide. The guide is available at sahrc.org.za.

4. Categories of records held

Records available without a formal request: this manual; our Privacy Notice; general marketing material describing our services and the nine placement specialties; and blank versions of our client enquiry form, candidate application form and client service agreement.

Records that require a formal request: client enquiry records; candidate application records; candidate screening and verification records; reference-check records; client service agreements and placement records; correspondence with clients and candidates; and internal financial, tax and administrative records.

5. Personal information processed and the purpose

We process the personal information of clients, prospective clients, candidates, suppliers and employees. Client information is processed to assess enquiries, to identify suitable candidates and to administer placements. Candidate information is processed to screen and verify candidates, to match them to client requirements and to administer placements.

Categories of data subjects include clients and their household representatives, candidates, next of kin provided by candidates, referees and former employers, and our suppliers and staff.

6. Recipients of personal information

Candidate information is shared with prospective client households to the extent necessary to assess suitability for a placement. We also share information with service providers who support our operations — including cloud hosting and email providers — and with professional advisers and regulators where required by law.

7. Cross-border transfers

Some service providers, including Google, store information outside South Africa. Where information is transferred across borders we take reasonable steps to ensure it receives a level of protection comparable to that required by POPIA.

8. Security measures

We take reasonable technical and organisational measures to protect records against loss, damage and unauthorised access. Access is limited to those who need it to perform their role, and records are retained only for as long as necessary.

9. Availability of this manual

This manual is available on our website and on request from the Information Officer. We review and update it as required.

10. Prescribed forms and fees

Requests for access must be made on the prescribed form, available from the Information Regulator at inforegulator.org.za. Prescribed fees are payable as set out in the regulations to PAIA.
